Zoom Integration Guide
The Topiq Zoom integration brings the transcripts of your recorded Zoom meetings into Topiq automatically, so meeting summaries, contact and account history, and meeting preparation all draw on what was actually said. This guide covers how to add, use and remove the integration.
Before you start
- You need a Topiq account. Topiq is available at app.topiq.work.
- You need a Zoom account with cloud recording. Only cloud recordings produce a transcript Zoom can share; local recordings saved to your computer cannot be imported.
- Turn on Audio transcript in Zoom: in the Zoom web portal, open Settings → Recording, enable Cloud recording, then check Create audio transcript. Your Zoom account admin may need to enable this for you.
1. Adding the Zoom integration
Step 1: Sign in to Topiq
- Sign in at app.topiq.work.
Step 2: Open your connections
- Open Settings and go to Your connections.
- Find the Zoom card.
Step 3: Connect Zoom
- Click Connect Zoom. You will be taken to Zoom.
- Sign in to your Zoom account if prompted.
- Review the access Topiq is requesting and click Allow.
Step 4: Return to Topiq
- Zoom returns you to Topiq, which confirms the connection. The Zoom card in Your connections now shows Connected.
Each person connects their own Zoom account. A teammate connecting theirs does not give Topiq access to yours, and yours does not give access to theirs.
2. Using the Zoom integration
Once connected, the integration works on its own. There is nothing to start or upload.
Step 1: Record a meeting to the cloud
- Host a Zoom meeting and record it using Zoom's cloud recording. The integration imports meetings that you host with your connected Zoom account.
Step 2: Zoom finishes the transcript
- After the meeting ends, Zoom processes the recording and creates the transcript. This usually takes a few minutes and can take longer for long meetings.
- When the transcript is ready, Zoom notifies Topiq, and Topiq retrieves it automatically.
Step 3: Find the transcript in Topiq
- The transcript appears on the Meetings page (in the left sidebar), with speakers identified.
- Topiq matches the meeting's participants to the contacts and accounts in your workspace, so the conversation shows up in their history and feeds summaries and preparation for your next meeting with them.
What Topiq accesses
- Your Zoom profile, to identify which Zoom account is connected.
- Your cloud recordings, to find and download meeting transcripts. Topiq downloads the transcript, not the audio or video.
- Past meeting participants, to match attendees to contacts and accounts.
Topiq only reads from Zoom. It does not create, change or delete meetings or recordings in your Zoom account.
3. Removing the Zoom integration
Option A: Disconnect from Topiq
- Open Settings → Your connections in Topiq.
- On the Zoom card, click Disconnect and confirm.
- Topiq revokes its access with Zoom and deletes the stored Zoom access tokens.
Option B: Remove the app from Zoom
- Sign in to the Zoom App Marketplace.
- Click Manage → Added Apps, or search for Topiq.
- Select the Topiq app and click Remove.
- Zoom notifies Topiq, and Topiq marks your Zoom connection as disconnected.
What happens after removal
- Topiq stops retrieving transcripts. Meetings recorded after removal are not imported.
- Transcripts imported before removal stay in your Topiq workspace as part of its meeting history, unless you ask for them to be deleted.
- To reconnect, follow the steps in Adding the Zoom integration again.
Deleting your Zoom data
- To have the Zoom transcripts and related data removed from Topiq, email [email protected] from your Topiq account email. Data is handled as described in our Privacy Policy.
4. Troubleshooting
- A meeting's transcript never appeared. Check that the meeting was recorded to the cloud with Audio transcript turned on, that you were the host, and that the transcript shows in your Zoom web portal under Recordings.
- The Zoom card says to reconnect. Your Zoom authorization was removed or expired. Click Connect Zoom again.
